A Photoshare Contributor's Story...

Photoshare contributor Caroline Jacoby is excited to see how the Population Leadership Program used one of her photos at the Global Health Conference held in May 2003 in Washington D.C. "The woman in this photo was my neighbor during my time as a Peace Corps Volunteer in rural Nepal," says Jacoby. "She had three small children. Her husband worked in India and came home infrequently. We had long talks about her desire to space her children and protect herself from disease. At the same time, she felt she needed to treat her husband like a god when he came home. She had to navigate a very tricky situation to keep her family together and safe. I know that she would be proud that the photo of her and her son helps to bring attention to reproductive health needs of women in developing countries and the organizations dedicated to fulfilling those needs." Jacoby is currently a Program Officer at the Center for Communication Programs in Baltimore. |
Because Photoshare images are intended for non-profit, educational use, the primary benefit of the Photoshare collection is to the international health community. As users of our service, NGOs who cannot afford to pay professional photographers benefit enormously from being able to request copies of images. Photoshare staff review each individual request to ensure that images will be used for non-commercial purposes in accordance with our Terms of Use. As ongoing contributors to our photo collection, photographers and NGOs gain the benefit of:
Furthermore, individuals who wish to market themselves as photographers have found Photoshare to be an excellent and easy to way to show others their work. Photographers can learn about and demonstrate the value of their images by viewing an image's history of requests (for example, see #2005-532).
On a personal level, photographers enjoy being able to show their images to family and friends, and they feel good about their images contributing to a good cause.

1. Select the Best Images
If you have numerous photos of the exact same person/place/activity, please send only those images that you consider to be the best representation of the subject. Photoshare staff select images on the basis of content (relevance to international health and development) and quality (e.g. lighting, composition, focus). We prefer originals, and we accept the following formats:

We need the following information to include images in Photoshare:
There is no limit on the length of a caption. We encourage you to include additional information to illustrate the context of the photo. Please note that Photoshare reserves the right to edit captions according to Photoshare's caption protocols and style guide.
Sample Caption:
"Hotline Counselor Patricia Ortiz trains volunteers to answer questions about family planning in Lima, Peru. The hotline receives an average of 800 calls per month."
Note in the example above, the first sentence describes the photo in the present tense, using an action verb ("trains"). The first sentence templates WHO, WHAT, and WHERE (it could also include WHEN). The second sentence gives context to the photo and explains why it's important.
Feel free to submit captions in any way that is convenient for you. Most contributors number their photos (in a way that does not damage the images) and send corresponding captions electronically through email or an attached document. Contact us if you are not sure how to best send captions.

A note about copyright: According to current copyright law in the United States,* copyright protection exists from the moment an original photograph is created and fixed in tangible form, regardless of notice and registration. As the individual creator of a photograph, you exclusively own the copyright, unless: you transfer the copyright to someone else; you created the photograph as an employee within the scope of employment, and the employer owns the copyright; or you created the photograph as an employee of the United States federal government within the scope of employment, and the photograph is in the public domain (i.e. it is not copyrightable). You are not required to register copyright in your name or transfer copyright to Photoshare in order to participate in Photoshare as a contributing photographer.
*The U.S. Copyright Act of 1976 and subsequent amendments made to join international copyright conventions such as the Berne Convention, effective March 1, 1989.
3. Print, Complete, and Sign the Photographer Agreement Form: Permission Form-Print | Permission Form-Email
Photos must be submitted with a completed and signed Photographer Agreement Form. This form grants us permission in writing to include your photos in Photoshare. Please mail this form with your photos or fax it to Photoshare (Attn: David Alexander) at 410-659-6266. If you are unable to download, print, and mail/fax the form, we can send you an email version.
4. Send Your Photos, Captions, and Photographer Agreement Form
You may send your photos through the mail, email, or FTP. Photoshare will reimburse shipping costs and return originals at your request. We are also happy to send you a free CD or DVD of your digital scans.

FTP
Method of Sending
Feel free to send your digital images in a way that is most convenient for you.
Online: Submit Photos to Photoshare: http://www.photoshare.org/submit/index.php
We generally recommend saving high resolution JPEGs and TIFFs using the submission page or by send as email attachments with a completed caption template. For large submission we would recommend sending the images via FTP (contact us for instructions).
*Sending images via email or FTP can potentially be time consuming and costly, an important consideration if you are paying by the minute for a slow Internet connection. If you are unsure about the suitability of email or FTP, you may want to experiment by sending 1 image.
Mail: Send your prints slides and negatives as well as digital images on CD-ROM to address above. If you use a digital camera, you may also send your memory card, and we will return the card after we download the images.
Resolution and Format
In order to ensure that your images are publication-quality, we strongly encourage you to set your digital camera to the highest resolution possible. If you are scanning images, use your scanning software to create a high-resolution scan (300 dpi with an output of approximately 4 x 6 inches or larger). Ideally, your images (scanned or taken with a digital camera) should have a pixel dimension of 1600 x 1200 or larger. In addition to resolution, consider the content and general quality of the images. Finally, when choosing a format for your newly created master digital images, we recommend TIFF, because it is a "lossless" format, superior in quality to a JPEG.
Image Enhancements and Adjustments
If you save images from your digital camera or scanner as JPEGs, please DO NOT SAVE ANY SUBSEQUENT CHANGES TO THE JPEG FORMAT!! Due the nature of the JPEG format, the file will compress, and the pixel quality will degrade more and more, each time you save a change (e.g. crop, adjust lighting and color). Also, do not adjust the resolution! Interpolating an image (increasing or decreasing the size) can also damage the quality of an image, regardless of the format. We prefer to optimize digital images on our end, if necessary. Please send us your ORIGINAL JPEG or TIFF images.
Secondly, please do not use a date function on your camera. Digitally removing dates can be a difficult, time-consuming, and imperfect process which often leaves "scars."
Please do not place a layer of text on a digital image. Also, do not write directly on a printed photograph. If you must write captions on the back of a print, please use a soft-point, quick-drying permanent marker that will not bleed onto other prints (we recommend the Sharpie ultra fine point permanent marker).
